Draft policy on syllabi sharing. (Tom)
Draft wording:
Draft policy statement on syllabi. Submitted by chair and leadership team after DC input in

October 2020 meeting.
1. All faculty must provide the department with a pdf copy of the syllabus for each course
taught during a term. These will be archived and not shared inside the department
except as needed for departmental functions like pre-tenure annual reviews or posttenure
periodic reviews. These will not be shared outside of the department except as
needed by the university administration for processes like accreditation.
2. In providing the department with a pdf copy, faculty may choose any of three
designations:
a. This syllabus may be viewed within the department for any purpose, including curricular
planning and development and by the UW administration as outlined in part 1, without
the need of notification.
b. This syllabus may be viewed within the department or by the UW administration only
for the purposes noted above in part 1. For any other use within the department,
notification and request for use is required.
c. This syllabus is to be kept restricted. The faculty member requests notification
whenever this syllabus is viewed within the department or by the UW administration,
including in the instances referred to in part 1.
3. In the case of requests from outside the department or UW administration for access to
a course syllabus of a faculty member currently working at the UW, the office will refer
the request to the faculty member. If that faculty member opts to share the syllabus,
the faculty member can request the department to share its archived copy. No copies of
any syllabus of any faculty member currently working at the UW will be shared with any
person outside of the department without the faculty member’s explicit statement of
permission. This includes requests from former students.
4. In the case of requests from outside the department or UW administration for access to
a course syllabus from a former or retired faculty member, the office may share a copy
of the syllabus at the approval of the chair. The presumption is that approvals will only
be made in instances where a former student requests a syllabus, not for other
requesters of any kind. Since former faculty members or retired faculty members may
not be available to make such decisions, this option is intended to prevent a former
faculty member from feeling overburdened or imposed upon.
